How ROUTE-EXCELerator Works

Creating the Daily Data Entry Sheet:

  1. Power on the Pocket PC

  2. Open the Excel Spreadsheets application: TAP Start, Pocket    Excel.

  3. (Long-Tap) on the Generic Daily Data Entry Sheet for the current month
  4. TAP Create Copy
  5. (Long-Tap) on the Generic Daily Data Entry Sheet that you just created (file ending with a (1).
  6. TAP Rename/Move
  7. Place the stylus on the line that has the highlighted file name at the end of the line. Move the highlight over the date portion of the name.
  8. Using the soft keyboard tap the Backspace key.
  9. Using the soft keyboard tap out the following sequence: SPACE, current days date, i.e., 10-30-04, Enter Key

 

Updating the Current Daily Data Entry Sheet:

  1. Open the Current Daily Data Entry sheet: TAP the current file.
  2. Use the Scroll Bar on the right side of the screen to move up and down to the location you are interested in updating.
  3. Use the Scroll Bar on the bottom of the screen to left and right to update the items that are being refilled at the specific location.
  4. In the lower right corner Tap on the keyboard symbol to open the soft keyboard.
  5. On the soft keyboard, in the upper left corner if the 123 key is showing, Tap it to start the numeric soft keyboard.  This button is a toggle back and forth between the Alphanumeric (normal looking) keyboard and the Numeric soft keyboard.  The numeric soft keyboard lends its self to the data entry process.
  6. When you find the brand that you want to update associated with the customer /  machine name row, select the cell by TAPing that cell.
  7. Tap in the number that you want to place in that cell that represents the quantity of that brand that was refilled, and TAP enter.
  8. If the location is not going to be refilled, and you visited it, TAP the BLUE “NO Refill” cell to the right of the location name cell, and TAP the “N” key, and TAP enter (You'll have to toggle back to the Alphanumeric (normal looking) keyboard  to locate the N key).
  9. Repeat the above steps throughout the route delivery day to enter all the brands delivered at each location.

 

Synchronizing the Pocket PC Daily Data Entry Sheet:

  1. Close the Daily Data Entry Sheet by TAPing the “OK” button in the upper right corner.
  2. TAP: Start, Settings, System tab (bottom of screen), Memory, Running Programs, Stop All, OK.
  3. Close the Settings Window by TAPing the Circle X in the upper right corner.
  4. Place the Pocket PC in the SYNC Cradle or cable.
  5. On the PC, Open the Microsoft ActiveSync ICON. The Synchronization window should open and synchronize the files from the Pocket PC and the PC. If the Synchronization window does not open, you may have to have to remove and replace the Pocket PC in the cradle to reinitiate the ActiveSync process.

 

Updating the Route-EXCELerator Workbook with the Current Daily Data Entry Sheet

  1. After the Current Daily Data Entry Sheet has been copied from the Pocket PC to the PC Synchronization Documents folder, Open the Data Entry Sheet that was just uploaded to the PC, by double clicking the ICON.
  2. Scroll to the bottom of the data in the spreadsheet, by using the scroll bar on the right side of the spreadsheet.
  3. Click on the cell below the end of the data (total locations counted), and click and hold down the left mouse button while moving the mouse pointer back to the upper left corner of the spreadsheet (cell A1).
  4. After you have highlighted the selected area. (With the cells highlighted, right click the mouse and select COPY.
  5. Open the current months  Route-EXCELerator Workbook and scroll to the TAB for the number of the current days date by scrolling to the Tabs labeled 1 through 31, and click on the tab that is the day of the month that you have gathered data for. For example if the date is November 13th, you would click on the tab labeled 13.
  6. Click that TAB to open that days sheet and scroll to the top left corner (cell A1). A shortcut to the upper left corner by pressing the CNTL and HOME keys at the same time
  7. Make sure that you are in the top left corner cell A1 when you perform this paste function! Click on the A1 Cell, Right Click the mouse, click on PASTE.
  8. At this point scroll through the tab that you just copied the data to and look to ensure that the spreadsheet looks normal but with the amount numbers in the cells that represent the stops and brand sales that were made that day.
  9. If all looks good, Save the changes to the Route-Wizard monthly workbook by clicking on the diskette ICON in the upper left corner.
  10. If the numbers are not aligned to the correct customer / machine, click the 'Undo' icon (the curved left pointing arrow ), or select EDIT, and Undo Typing.  Then repeat steps 6 through10.

 

Removing the Completed Daily Data Entry Sheet from the Pocket PC

1.         After coping the Daily Data Entry Sheet into the Route-Wizard Monthly Workbook, close the current Daily Data Entry file and go to the PC Synchronization Documents folder, and select the current Daily Data Entry file.

2.         After you have selected the current Daily Data Entry file, right click the mouse and select “CUT”.

3.         Open the folder that you save these files into and click Paste, to move it from the Pocket PC Documents folder into the storage folder for potential reference at a later time.

Command Descriptions

Pocket PC

TAP means a simple tap on the Pocket PC screen.  You do that to select an item, close out a screen or enter characters on the soft-keyboard.

"Long Tap" means tap the screen and hold down the stylus. You will see a series of dots moving clockwise when that completes a menu will appear.

Soft-keyboard Enter key is a broken arrow symbol like on a PC keyboard enter key
